Venue Retreat Process
Karine the head of product and discovery at Netflix contacted us at Venue Retreat with only 2 months away from their fixed retreat dates asking for our help and guidance on finding the perfect venue for their team retreat.
After having an initial consultation call we understood the main objectives of the retreat, the standards they were looking for, someone special, unique, different with amazing service, accomodation and close to an international travel hub. At first Lisbon was the only location they were interested in.
The Location
Initially Karine just wanted us to focus on Lisbon, Portugal for their June 2024 team retreat, and after getting some wonderful options and proposals she mentioned that they were now open to other locations in Europe dude to other team members being closer to other European countries. As we are a very small and synamic team with a worldwide network and relationship with our venue partners it was easy for us to be able to get confirmation on some amazing options for Karine and her team.
Proposals & Negotiation
Because we have a wonderful relationship and network of venues around the globe our venue owners and resrbvation teams go above and beyond with our clients ensuring an incredible level or service and hospitality. And because we have been sending amazing clients and groups to our venue partners they do their best to be flexible and offering incredible discounts in the venue rental or overall package. With this retreat we saved Netflix 15,000 euros!
We scheduled a call with Jens from the venue, myself and Karine from Netflix and talked over all of the details. The proposal and discount was offered without any prior negotiation or haggling, we spoke to Jens to get the best deal possible for the client and they were willing to give a special price for this date for our clients which was fantastic of them.
Choosing the Venue
So we had the proposal, the call, connecting Karine & Netflix directly with our potential venue options to make sure the process was clear, transparent and we had open communication between all parties. The venues presented their proposals directly with the following services included in the team retreat offsite package;

Full board & open bar service
Airport tranfers
On and offsite activities and transportation to beaches, hiking guides, local towns to visit.
Pool Bar, tennis court, party event, volleyball court
Full staff members, bar staff, cleaning service, waiters and Michelin star chef.
Retreat Objective & Planning
It was imperative for the team to have a mixture of ice breakers, activities, sports, meeting and work spaces for the whole group and for smaller sessions and breakaway sections. They wanted to have team sport events such as volleyball., pool games, events as well as visiting local cutlrual sites, beaches, hiking and experiencing the local cuisine.
With sharing all of the options within the region what would be possible this gave Netflix a clear idea of how to srtructrue each day with meetings, rest, activities, meals and events. As well as visiting local private beaches and enjoying surrounding nature and environment.
The Results
Karine & the Netflix team were so so happy with the venue, we followed up with them the day of the retreat during the retreat and post offsite so we could help if there were any logistical problems. The day of arrival Karine said the venue had already surpassed their expectations of their previous experiences at retreats and were so grateful of us and the Barcelona Luxury Estate Team.
