Yet, this meticulous process is often marred by an emerging trend, a quiet yet perturbing undercurrent, of clients exploiting certain business models, particularly those not charging service fees in an attempt to maintain affordability.

To the unsuspecting eye, the search for the perfect venue might seem straightforward. But those steeped in the intricacies of the industry know it to be a dance of precision and balance. From understanding a company's ethos to gauging a retreat leader's vision, the process can be as delicate as it is detailed.

Transparency, in this context, isn’t just a buzzword; it’s a lifeline. Venue Retreat, by the nature of their role, operate on the principles of trust and clarity. In an era that champions cost-effectiveness, many venue facilitators have shifted away from charging service fees. We do offer our larger groups and clients extra services with fees but this is on a case by case basis depending on what this client may need from extra logistical help or visiting venues around the world, but we try to have our main business model to fit clients of all budgets.

This model is not just a competitive move but an act of trust, signaling to clients that the focus is on quality and fit rather than profit. However, with trust, comes the potential for misuse.

A concerning number of clients, buoyed by the absence of upfront costs, have begun to treat this trust as a vulnerability. Some embark on exhaustive searches, consuming significant resources, only to disappear when it comes time to finalize agreements. Others leverage the work of these facilitators only to bypass them in the end, dealing directly with venues and leaving the mediator uncompensated for their efforts.

It is here that we pause to express gratitude for our venue partners. We are incredibly fortunate to foster strong relationships with them, as they understand our value and consistently keep us in the loop. Their support is invaluable, especially when clients attempt to sidestep our established processes. However, this understanding from our partners does not diminish the frustration we feel when witnessing clients act in bad faith. Many of these clients had initially lauded our values and ideals, championing our unique business model, only to later try to undercut our efforts.

Introducing service fees or changing the existing business model can have a ripple effect not just on the immediate business operations, but also on venue partners and clients. At this moment we only offer certain fees to clients who specifically ask and need these extra services meaning we do not have to charge the majority of our clients a service fee for our basic services. Here's a closer look at the potential negative impacts:

  1. Cost Concerns: An obvious one, but clients would now need to account for additional costs, potentially stretching their budget or forcing them to consider cheaper venues.

  2. Clients would be paying for time and expertise regardless of if the right venue and proposals were given.

  3. Reduced Flexibility: For some clients, especially those running smaller events or working with tighter budgets, the addition of service fees might reduce their flexibility in terms of venue choices or additional services they can afford.

  4. Value Perception: Clients may demand more services or higher levels of service to justify the fees. This could put additional strain on resources and lead to inflated expectations.

  5. Relationship Strain: Long-standing clients who have been accustomed to a no-fee model might feel slighted or undervalued, potentially straining or severing relationships.

While changing the business model is a strategic decision that may be necessary for sustainability or growth, it's crucial to weigh these potential negative impacts against the perceived benefits.
